Private Label Oral Pouch Artwork Approval: Lot Codes, Variable Data and Version Control

Private label oral pouch artwork approval is a controlled quality process, not only a graphic-design sign-off. Every can label, base label, induction liner, carton and shipping case must match the approved formula, market, language and variable coding plan. Weak version control can place correct product into obsolete or incorrect packaging.

Separate fixed artwork from variable data

Fixed artwork includes brand design, ingredient statements, warnings, net quantity and other preprinted elements. Variable data may include lot number, production or expiry information, time, line and serialized codes. The approval record should show which information is preprinted and which is added during packing.

A blank area that looks sufficient on screen may not provide adequate contrast or space on a curved can. Production trials should verify legibility after coding, handling and storage.

Artwork controls compared

Control point Question to answer Evidence
Master copy review Does text match the approved product and market? Regulatory and brand sign-off
Dieline check Are cut, seam and safe zones correct? Printer-approved technical drawing
Color proof Are critical colors controlled? Approved physical or calibrated proof
Barcode verification Does the symbol encode and scan correctly? Verification report and production sample
Variable-code trial Is lot information durable and readable? Coded line sample
Version reconciliation Was obsolete material removed? Issue, use, return and destruction records

Create one controlled artwork master

File names such as final, final-new and latest-final are not a reliable system. Each approved component should have a unique item code, revision number, approval date and market designation. The production bill of materials must reference the exact approved revision.

Comments made in email or messaging should be incorporated into the controlled master and formally approved. The printer should not make unreviewed copy or layout changes during prepress.

Review copy against the finished formula

Ingredient order, caffeine source, amount declaration, flavor, sweeteners and allergen information should be checked against the released formula and applicable market requirements. Claims require separate substantiation and classification review. A technically attractive statement can still create regulatory risk if the evidence or destination-market rules do not support it.

Validate barcodes and lot-code durability

Verify barcode quiet zones, contrast, size and placement on representative curved packaging. Scan printed production samples rather than relying only on the design file. Lot codes should remain legible through abrasion, condensation, temperature change and normal distribution.

If a QR code points to a product page, the destination and ownership of that URL need lifecycle control. A working code at launch can become misleading if the linked content later changes.

Control multilingual and multi-market versions

Translations should be reviewed by qualified market specialists and connected to the same revision system. Similar-looking regional labels require strong segregation and line clearance. Color alone should not be the only distinction between markets.

Reconcile packaging during changeover

Issue only the required quantity of printed material to the line, account for used, damaged and returned units, and destroy obsolete versions under control. A packaging change should define the cutover lot so the brand can trace which revision entered distribution.

Buyer approval checklist

  • Assign unique item and revision codes to every packaging component.
  • Match copy to the released formula and destination market.
  • Approve a dieline and production-representative color proof.
  • Test barcode scanning and variable coding on finished cans.
  • Review multilingual versions independently.
  • Define obsolete-material quarantine and destruction.
  • Link the artwork revision and printer lot to finished-batch records.

Frequently asked questions

Who should give final artwork approval?

The quality agreement should define brand, regulatory, quality and manufacturer responsibilities before printing begins.

Is a PDF proof enough?

It can support copy review, but physical dimensions, color, barcode and coding often require production-representative verification.

Can old labels be used after a minor change?

Only through a documented assessment and approval that considers the change, market and inventory; it should not be assumed.
